Privacy policy

What we collect, why we collect it, how long we keep it, and how to have it deleted. Written to meet the Digital Personal Data Protection Act, 2023.

Draft — not yet reviewed by a legal advisor

This text was prepared as a starting point and describes what this website actually does. It has not been checked by a qualified legal advisor and should not be relied on as legal advice. It must be reviewed before this site is promoted publicly.

Incomplete

9 details are still outstanding on this page, marked [CLIENT INPUT NEEDED] in the text below. Nothing has been invented to fill the gaps.

This policy explains how ZICE Group of Education handles the personal data of people who use this website or contact us for admission guidance. It is written for the Digital Personal Data Protection Act, 2023 ("the DPDP Act"), under which you are the Data Principal and we are the Data Fiduciary.

Who we are

ZICE Group of Education is an education and admission consultancy based in Lucknow, Uttar Pradesh. Registered entity name: [CLIENT INPUT NEEDED — exact registered business name]. Registered address: [CLIENT INPUT NEEDED — full office address including PIN code]. Email: zicefoundation@gmail.com. Telephone: +91 72910 37788.

What we collect, and when

  • Enquiry forms. When you submit an enquiry or book a counselling session, we collect your name, phone number, and — where you provide them — your email address, city, the course you are interested in, and anything you write in the message box.
  • Consent record. We store the exact wording of the consent statement you agreed to, together with the date and time you agreed to it. This is kept so that both you and we can see precisely what was agreed.
  • Documents. If you proceed with an application through us, you may upload documents such as mark sheets, certificates, identity documents and category or domicile certificates.
  • Technical data. Our servers record the IP address of requests to our forms. This is used only to limit how many submissions a single source can make in a short period, which is what stops the forms being abused.

What we do not collect

We do not use advertising cookies to build a profile of you across other websites. We do not buy contact lists, and we do not sell, rent or trade your personal data to anyone. We do not collect payment card details on this website.

Why we use it

  • To contact you about the admission guidance you asked for.
  • To prepare and check applications and documents on your instruction.
  • To keep a record of the consent you gave us, as the DPDP Act requires.
  • To protect the website from automated abuse.

Analytics and measurement

Where analytics is enabled, this website may use Google Analytics 4 and the Meta pixel to understand how people find and move through the site. These services set cookies and receive your IP address. They are configured to measure pages and form completions, not to identify you personally. If you would rather not be measured, browser-level tracking protection and "Do Not Track" settings are respected by these services where the service supports them. [CLIENT INPUT NEEDED — confirm whether analytics and the Meta pixel are to be enabled at launch].

Where your data is stored

Enquiry and application records are held in our database. Uploaded documents are stored in a private cloud bucket that is not publicly readable: files are renamed on upload, no permanent public link to a document ever exists, and a document can only be opened through a short-lived link generated after we have checked that the person asking is entitled to see it. Nothing you upload is placed in a public folder on this website.

How long we keep it

  • Enquiries that do not proceed: retained for up to 24 months from your last contact with us, then deleted.
  • Student records and uploaded documents: retained while we are assisting you and for up to 36 months after your admission process closes, so that we can answer questions about what was submitted on your behalf.
  • Consent records: retained for as long as the related record exists, because a consent record with no record attached proves nothing.
  • These periods are our stated practice. [CLIENT INPUT NEEDED — confirm these retention periods are acceptable, or supply the periods you want].

Your rights under the DPDP Act

  • Access. You may ask us for a summary of the personal data we hold about you and what we have done with it.
  • Correction. You may ask us to correct anything inaccurate, complete anything incomplete, and update anything out of date.
  • Erasure. You may ask us to delete your personal data. We will do so unless we are required by law to keep it, and we will tell you if that is the case.
  • Withdrawal of consent. You may withdraw your consent at any time, as easily as you gave it. Withdrawing consent does not undo anything done lawfully before you withdrew it, but it stops us contacting you or processing your data further.
  • Nomination. You may nominate another person to exercise these rights on your behalf if you are unable to.
  • Grievance redressal. You may complain to us about how we have handled your data, using the contact details below. If you are not satisfied with our answer, you may then complain to the Data Protection Board of India.

How to exercise any of these rights

Write to our Grievance Officer with your name and the phone number you gave us, and say what you want done. We will acknowledge within 72 hours and respond substantively within 30 days.

Grievance Officer

Named Grievance Officer: [CLIENT INPUT NEEDED — full name of the Grievance Officer]. Designation: [CLIENT INPUT NEEDED — designation]. Email: [CLIENT INPUT NEEDED — a monitored email address for data requests]. Postal address: [CLIENT INPUT NEEDED — full postal address for written requests]. This appointment is required by section 13 of the DPDP Act; until these details are filled in, please use zicefoundation@gmail.com and mark your message "Data protection request".

Children

Many of the students we advise are under 18. Where we know that a user is under 18, we process their data only with the consent of a parent or lawful guardian, and we do not use their data for tracking or targeted advertising. If you believe we hold data about a child without that consent, contact the Grievance Officer and we will delete it.

Sharing with others

We share your data with a college, university or counselling authority only when that is the step you have asked us to take on your behalf, and only what that step requires. We use third-party service providers for hosting, email delivery and file storage; they process data on our instruction and may not use it for their own purposes.

Changes to this policy

If this policy changes we will update the "Last updated" date at the foot of the page. Where a change materially affects how we use data you have already given us, we will tell you directly.

Governing law

This policy is governed by the laws of India. [CLIENT INPUT NEEDED — confirm the courts and city of jurisdiction, e.g. "the courts at Lucknow"].
